Neutrinori (Pty) Ltd ("Neutrinori", "we", "us" or "our") provides payroll, statutory registration and compliance services to South African businesses. We take the privacy of our clients, their employees and our website visitors seriously. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have.
This policy should be read together with our POPIA Notice, which sets out our obligations and your rights under the Protection of Personal Information Act 4 of 2013 ("POPIA").

2. What personal information we collect
Information you give us directly
- Contact and identity details such as your name, email address, phone number, company name and job title, for example when you complete our booking form, subscribe to our resources or contact us.
- Business and statutory information needed to perform our services, such as CIPC registration documents, director and owner ID copies, bank confirmation letters, proof of business address, SARS and Department of Labour reference numbers.
- Payroll and employee information supplied to us by clients, such as employee names, ID numbers, tax numbers, salaries, banking details and leave records, which we process on our clients' behalf to run payroll and make statutory submissions.
- Documents you upload through our website, share via Google Drive or send via WhatsApp or email.
- Payment information where you purchase resources from us. Card details are processed by our payment provider and are not stored on our systems.
Information collected automatically
- Technical data such as your IP address, browser type, device type and pages visited, collected through standard web server logs and any analytics tools we use.
3. Why we collect and use personal information
- To provide our services, including payroll processing, statutory registrations and submissions to SARS, the Department of Employment and Labour, the Compensation Fund and CIPC.
- To respond to enquiries and consultation requests and to schedule calls.
- To deliver resources, guides and other content you request.
- To send you relevant updates about compliance deadlines and our services, where you have opted in. You can unsubscribe at any time.
- To comply with our own legal obligations, including tax and record-keeping requirements.
- To improve our website and services.
4. Processing employee information on behalf of clients
When we process the personal information of a client's employees to run payroll or make statutory submissions, we act as an operator under POPIA and the client remains the responsible party. We process that information only on the client's instructions, keep it confidential and apply the security safeguards described below. Employees of our clients who have questions about their personal information should contact their employer in the first instance.
5. Who we share personal information with
We do not sell personal information. We share it only where necessary:
- Statutory bodies such as SARS, the Department of Employment and Labour, the Unemployment Insurance Fund, the Compensation Fund and CIPC, as required to perform the services you engage us for.
- Service providers that support our business, such as website hosting, form processing, cloud document storage (including Google Drive) and payroll software providers. These providers process information on our instructions under appropriate safeguards.
- Professional advisers and authorities where required by law, regulation or court order.
6. How we protect personal information
We apply reasonable technical and organisational measures to protect personal information against loss, unauthorised access and misuse. These include restricted access to client folders, secured cloud storage, access limited to your assigned practitioner and POPIA-aligned internal handling procedures. No system is completely secure, and we encourage you to use the secure upload channels we provide rather than open email where possible.
7. How long we keep personal information
We keep personal information only as long as needed for the purposes described above or as required by law. Payroll and tax records are retained for the minimum periods prescribed by the Tax Administration Act, the Basic Conditions of Employment Act and related legislation, which is generally five years. When information is no longer required we delete or de-identify it.
8. Cross-border transfers
Some of our service providers, such as cloud storage and email providers, may store information on servers outside South Africa. Where this happens we ensure the recipient is subject to a law, binding corporate rules or a contract that provides an adequate level of protection substantially similar to POPIA.
9. Your rights
Under POPIA you have the right to access the personal information we hold about you, to ask us to correct or delete it, to object to processing and to complain to the Information Regulator. These rights, and how to exercise them, are set out in full in our POPIA Notice.
10. Cookies and analytics
Our website may use cookies and similar technologies to remember preferences and to understand how visitors use the site. You can control or delete cookies through your browser settings. Disabling cookies may affect how parts of the site work.
11. Third-party links
Our website contains links to third-party sites and services, including WhatsApp, Google Drive and social media platforms. Those services have their own privacy policies and we are not responsible for their practices.
12. Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be published on this page with its effective date. Material changes will be highlighted on our website.
